Commercial fit-out project execution: how to finish on time and on budget

By SKALA Designs · 5 min read

Glass office facade at dusk

For a business, every day of delay is a day without income. A commercial fit-out succeeds when planning, procurement and site coordination are tight from the start.

Key takeaways

  • Freeze the design and specifications before work begins
  • Order long-lead items early and track every delivery
  • Sequence trades carefully so nobody blocks anybody else

Define scope and budget clearly

A written scope, drawings and a costed bill of quantities avoid disputes and mid-project surprises. Decide who provides what: owner-supplied equipment, landlord works and contractor works should be clear on paper.

Work back from your opening date

Set the target opening day first, then build the programme backwards, allowing time for approvals, procurement, installation, testing and snagging.

Order long-lead items early

Custom joinery, glass, signage, kitchen equipment, lighting and air-conditioning often take weeks to arrive. Ordering them early protects the schedule.

Coordinate the trades

In a fit-out, electricians, plumbers, carpenters, ceiling and paint teams overlap in small spaces. A daily site plan avoids clashes, rework and damage to finished surfaces.

Manage approvals and compliance

Fire safety, electrical, signage and local authority requirements should be checked early, particularly for restaurants, clinics and public-facing spaces.

Control changes

Changes during a fit-out ripple through cost and time. We record every requested change, price it, and get it approved before it goes ahead.

Test, snag and hand over

Before opening, we test electrical, plumbing, air-conditioning, lighting and safety systems, list and fix snags, and hand over documentation and warranties.
